Data transparency

Privacy policy

Last updated: October 15, 2026

This policy explains how the privately operated Family HQ application, part of Ownbase, handles information obtained through Google services. Family HQ is intended for the application owner's personal use and a small number of explicitly authorized people. It does not offer public registration.

1. Information accessed

When an authorized user connects Gmail, Family HQ may access recent email message identifiers, thread identifiers, sender information, subjects, timestamps, labels, and message bodies as needed to identify relevant messages and classify them. It accesses only the Google account for which authorization was granted.

2. Purpose and use

Family HQ uses email information to classify incoming messages, identify potential calendar events and delivery or order updates, and prepare or deliver user-requested automations and notifications. It does not use Google user data for advertising, marketing profiles, resale, credit scoring, or unrelated surveillance.

3. Processing and service providers

Automation is orchestrated through a privately managed n8n installation. Relevant email text may be sent to the OpenAI API for automated classification and extraction needed for these features. When explicitly enabled by the operator, specialized workflows may transmit selected event details to an Apple calendar or concise notifications to Telegram. Not every integration is active at all times.

Google user data is not used to train or improve general-purpose artificial intelligence or machine-learning models. Data sent to API providers is used to provide the requested application functionality, subject to their applicable processing arrangements.

4. Storage and retention

Family HQ stores message identifiers, basic metadata, classification results, workflow status, and operational error information to support deduplication, processing, and troubleshooting. Message content may also be present in transient processing records, execution history, or operational backups depending on system settings. Data is retained only as needed to operate and maintain the application, including appropriate backup and recovery periods. An authorized user may request removal from the application operator.

5. Sharing and security

Information is shared only with technical service providers necessary to operate the described features and with destinations selected by the authorized user. The system is privately administered and its operational interfaces are not intended for general public access. No method of electronic storage or transmission can be guaranteed to be perfectly secure.

6. Google API Limited Use

The use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements and the applicable Google Workspace user data policies.

7. Your choices and contact

Access can be revoked at any time from the connected Google account's third-party connections settings. Authorized users can contact the application's operator through their existing private support channel to ask questions, request data removal, or discuss access. The Google OAuth consent screen also identifies the user support contact.

8. Website hosting

The public Ownbase website consists of static pages hosted by Cloudflare. The site does not include advertising or third-party analytics scripts. Cloudflare may process routine network metadata to deliver and protect the website.

9. Changes

This policy may be updated if features, data handling, or service providers change. The revised policy will be published at this address with a new update date. Changes requiring new Google user consent will be handled through the applicable Google authorization process.
